Creating Patient Contact Lens Orders for ABB
You can create soft contact lens orders in AcuityLogic POS for patients that have a valid contact lens prescription. You can create the contact lens prescription in AcuityLogic POS, or you can select a prescription created in Eyefinity EHR if your office uses the integration.
AcuityLogic adds each patient contact lens order that you create to a stock order. The type of stock order depends on the option you select from the Supply Source drop-down list on the order's Summary tab. See Understanding Contact Lens Stock Order Types.
To create patient contact lens orders
- In AcuityLogic POS, open a patient profile. See Opening Patient Profiles.
- Click the Orders tab.
The patient’s order information appears.
- Click New Contact Lens Order.
The Contact Lens Order tab opens.
- If you are copying a previous order, select the order number and date from the Copy Order drop-down list. Otherwise, select No.
- Select Soft from the Lens Type drop-down list.
- Select a consultant from the Eyewear Consultant drop-down list.
- Select one of the following options from the Ship To drop-down list:
- This Office ships the order to your current office. AcuityLogic enters the current office address in the At Address field.
- Another Office ships the order to a different office. AcuityLogic populates the At Address drop-down list with all your offices. Select the office to ship the order to.
- Mail to Patient ships the order to the patient. AcuityLogic enters the address on file for the patient in the At Address field. If the patient has more than one address on file, AcuityLogic populates the At Address drop-down list with the addresses. Select the address to ship the order to.
- Click Next.
The Soft Lenses tab opens.
- Click the link of the exam number with the prescription you want to apply to the order.
AcuityLogic adds the information from the selected prescription to the order.
- To change the quantity for the order, click Edit, adjust the quantity in the Quantity field, and click Update.
- To delete a line item from the Order, click the Delete (X) icon.
- Click Next.
The Summary tab opens.
- Select one of the following options from the Supply Source drop-down list:
- Contact Lens Supplier (Auto) sends the order to ABB/Fait/CLX depending on your integration. AcuityLogic adds the order to a Patient Order (Auto) stock order.
- Inventory fulfills the order from store inventory. AcuityLogic adds the order to a Replenish (Auto) stock order for inventory replenishment.
If the selected contact lens is not a catalog lens, select Contact Lens Supplier (Manual) from the Supplier Source drop-down list, and order the lens manually. - Enter any additional instructions in the Instructions field.
- If the order is not for both right and left lenses, deselect the Right Lens or Left Lens check box in the Parts to Supply section. Both check boxes are selected by default.
- Select the dispensing status from the Dispensing Status drop-down list.
- Enter any additional dispensing notes in the Dispensing Notes field.
- Complete the order by using one of the following methods:
- To complete the order and return to the Patient Orders window, click Complete Order.
- To open the order in the Order Pricing window, click Complete Order to Pricing.
- You must price and invoice an order for the sale to be complete. You can add discounts and items, including doctor’s and shipping fees, when pricing an order. You can take payments and print receipts when invoicing an order.
- For orders being shipped directly to patients, you are prompted to select a shipping method when you price the order. If you do not select a method, the method is set to ground shipping.
- For orders being shipped to an office, you are not prompted to select a shipping method when you price the order. By default, the method is set to ground shipping. You can change the method and add a shipping fee if necessary.
