Returning Orders

When you return orders, you can refund the amount paid to the customer or issue a credit to apply to a new order.

To return orders

  1. Open a patient profile. See Opening Patient Profiles.
  2. Click the Orders tab.

    The patient’s order information appears.

  3. Select Return from the Actions drop-down list for the order you want to return.
  4. Select the items to return using one of the following methods:
    • Click Full Return to return all items on the order.
    • Click Full Return w/out Exam to return all items on the order without refunding the exam fees.
    • Click the Return link to select items on the order to return.
  5. Click Save.

    The Confirm window opens

  6. Select a return reason.
  7. In the note field, enter information about the return.

    This field appears only if the required notes feature is configured for this transaction type. See Setting Up Required Notes.
  8. Click Refund or Credit.
    • If you click Credit, AcuityLogic issues a customer credit for the payment amount and returns you to the Patient Orders window. The AcuityLogic return/refund report opens in a new browser window.
    • To add a frame back into your office inventory, select the Add Frame to Inventory check box.
    • To transfer a frame to your distribution center, also select the Check here to create a Stock Transfer check box. AcuityLogic creates a transfer document so you can move the returned frame from your office inventory to your distribution center inventory.
  9. If you click Refund, in the Payment Refund section, click Edit for the credit card payment.
    To split the refund between multiple payment types, click Edit and update the refund amount for each payment type.
  10. In the Refund Payment window, verify the refund using one of the following methods:
    • For major credit card refunds, enter the card number and expiration date from the original card used, verify the refund amount, and click OK.
    • For other refund payment types, verify the refund amount and click OK.
  11. In the Payment Refund section, click Save.

    The AcuityLogic return/refund report opens in a new browser window.

    If you need to print the return/refund report after the transaction has ended, click the Transactions tab and click the Print icon for the return.
