Setting Up Commission Rules

1. Open the Business Rules window. See Opening the Business Rules Window.
2. Click the Commissions link for your company.

   The Commissions window opens.

3. To search for a commission category, select an active status from the Active drop-down list, type the category description in the Description field, and click Find.

   All commission categories that meet your search criteria are displayed.

Setting up commission categories is a two-part procedure:

• Set up the commission logic.
• Select the specific products, item groups, or packages that are included in the commission category.

1. Open the Commissions window. See To open the Commissions window and search for commission categories.
2. Do one of the following:
   • To create a new commission category, click Add Category. A row is added to the Commissions table.

   • To edit a commission category, click the Edit link in the row of the commission you want to edit. The row becomes editable.

   The following steps explain how to enter or change values in the fields of the new or existing row.

3. Type the name of the commission category in the Category Description field.
   The Category Description appears in AcuityLogic POS to managers who review employees’ commissions and transactions.
4. Do one of the following:
   • To activate the commission category, select the Active check box.
   • To deactivate the commission category, deselect the check box.
5. Select one of the following calculation methods from the Category Method drop-down list:
   The calculation method you select determines which commission category details you can add to the commission category. See To set up commission category products and details.

   For this item . . .	The commission rule is based on . . .
   Item Type	The item type (for example, coating, frame, contact lens)
   Frame Retail Range	The range of the retail price of frames
   Frame Selling Range	The range of the selling price of frames
   Frame Collection	The frame collection (for example, Altair, Flexon, Nautica)
   Item Group	The item group (for example, standard frame, medical exam, UV)
   Package	The package (that is, promotional packages)
   Multiples	Whether multiple items are sold (that is, similar items of a specified value sold within a period of days)
   EGOrders	Eyeglass orders (for example, complete, lenses only)
   CL Orders	Contact lens orders (for example, soft, hard, any)
   Average Sales	Average sales (that is, based on sales category and quantity category)
   ItemGroupRange	The range of the retail price for the item group (that is, items in customized groups within a certain price range)
   FrameCollectionRange	The range of the retail price for the frame collection (for example, Altair frames between $90 and $200)
   KPI Special Types	Sales of items in customized KPI groups
   Eyeglass Lens	The sales of individual eyeglass lenses
   Total Category	The total KPI group retail price

6. Select the Exclude Adjustments check box to include transactions with adjustments from commission calculations.
   By default, all transactions with adjustments are excluded in commission calculations. Selecting this check box overrides that default setting for all sales except multiple pairs sales.
7. Select the Show Transaction check box to display the commission category in AcuityLogic POS or AcuityLogic BackOffice as a link.
   The link enables managers in AcuityLogic POS or AcuityLogic BackOffice to view an associate’s transactions that apply to the commission category. The link also enables employees to view the transactions that apply to the commission category.
8. If the commission is paid as a flat dollar amount, select Amount from the Commission Preference drop-down list. If the commission is paid as a percentage, select Percentage.
9. Enter the commission amount or percentage in the Amount/Percentage field.
   The Amount/Percentage is controlled by the Commission Preference drop-down list. For example, a 2 entered in Amount/Percentage can be either $2.00 or 2%, depending on what is selected as the commission preference.
10. If the commission preference is percentage, select whether commission is calculated from the net sale or from the patient payment (which does not include any insurance payments) from the Percentage of drop-down list.
11. To pay an amount or percentage above your usual commission as part of a promotion or contest, perform the following steps; otherwise, go to step 14:
    1. Type the promotion start and end dates in the Special Pay From and Special Pay To fields.
    2. Enter the commission amount or percentage in the Special Pay field.
       The Special Pay is controlled by the Special Pay Preference drop-down list. For example, a 2 entered in Special Pay can be either $2.00 or 2%, depending on what is selected as the special pay preference.
    3. If the special is a flat dollar amount, select Amount from the Special Pay Preference drop-down list. If the special pay is a percentage, select Percentage.
    4. If the special pay preference is a percentage, select from the Percentage of drop-down list whether the special pay is calculated from the net sale or from the patient payment (which does not include any insurance payments).
12. Select the Override Exceptions check box to override the exception rules for the commission calculation on orders.
13. Select the Exclude Package Discount check box to exclude package discounts for the commission calculation on orders. If you select this check box, only line and global discounts are included in the commission calculation on orders.
14. Click Save or Insert to save the commission category.

The available commission category details are determined by the calculation method you selected when setting up a commission category. See To set up commission categories.

1. Open the Commissions window. See To open the Commissions window and search for commission categories.
2. Click the Setup link in the row of the commission category that you want to set up.

   The Setup window opens.

3. Do one of the following:
   • To create a setup within the commission category, click Add Setup. A row is added to the Setup table.

   • To edit a setup, click the Edit link in the row of the appropriate item, package, or group. The row becomes editable.

4. Follow these instructions based on the calculation method you selected for the productivity category in To set up commission categories:

   For this item type . . .	Take this action . . .
   Item Type	Select an item type from the Item Type drop-down list, and select an item from the Item drop-down list.
   Frame Retail Range	Type the minimum retail price for eligible frames in the From Amount field, and type the maximum retail price for eligible frames in the To Amount field.
   Frame Selling Range	Type the minimum selling price for eligible frames in the From Amount field, and type the maximum selling price for eligible frames in the To Amount field.
   Frame Collection	Select the frame collection from the Frame Collection drop-down list.
   Item Group	Select an item type from the Item Type drop-down list, and select an item from the Item drop-down list.
   Package	Select a package from the Package drop-down list.
   Multiple	Type the minimum price for eligible frames in the From Amount field, and type the maximum price for eligible frames in the To Amount field. Select the amount type from the AmountType drop-down list. For a commission on a second sale on the same day, type 0 in the Days From and Days To fields. For a commission on a second sale on a different day, type 1 in the Days From field and type the maximum number of days after the original sale in the Days To field, for example, 14. Select the order type for the first and second orders in the First Pair Orders and Second Pair Orders fields, respectively. Note: A multiple commission for sales on different days must have a Days From of at least 1 to prevent two commissions being calculated for same-day sales.
   EGOrders	Select an eyeglass order type from the EGOrderType drop-down list.
   CL Orders	Select a contact lens order type from the CL Order Type drop-down list.
   Average Sales	Select a sales category from the Sales Category drop-down list, and select a quantity category from the Quantity Category drop-down list.
   ItemGroupRange	Select an item from the Item drop-down list.
   FrameCollectionRange	Select an item from the Item drop-down list.
   KPI Special Types	Select a KPI special type (frame, accessory, lens, or exam only) from the KPI Special Type drop-down list.
   Eyeglass Lens	Select an item from the Item drop-down list.
   Total Category	Select a total category from the Total Category drop-down list.

5. Click Save.
6. Add multiple setups to include additional products by clicking Add Setup and repeating steps 4–5.
7. If you are setting up commission category details for a package and you want to create commissions based on upgrades to packages, follow these instructions:
   1. Click the Pay On Package Upgrade link.

      The Pay On Package Upgrade window opens.

   2. Do one of the following:
      • Click Add Category to add a new upgrade category.

      • Click Edit to edit the commission rate of an existing category.

   3. Select a category from the Category drop-down list.

      The dollar amount of the commission rate populates in the Amount field.

   4. To change the commission rate, type the dollar amount of the commission rate for the upgrade in the Amount field.
      Changing the commission rate here does not change the commission rate you set up for the original commission category.
   5. Click Save.

To exclude transactions from commission calculations based on insurance, discounts, or balances of zero, set up exception rules. Each exception rule is based on a specific criterion (insurance, discounts, or balances of zero) and excludes all transactions that meet the criterion from all commission calculations. For example, if you set up an exception rule that excludes frames discounted by 50%, then all transactions with this discount are excluded from all commission calculations.

To exclude transactions based on specific insurance carriers or plans from specific commission categories, see To set up commission carrier rules.

1. Open the Commissions window. See To set up commission carrier rules.
2. Click Setup Exceptions Rules.

   The Add Exceptions Rule window opens.

3. Click the Setup link in the row of the exception rule you want to set up. You can create the following exception rules:
   • Exclude Insurance Carrier: All transactions that have a specific insurance carrier applied to them are excluded from commission calculations.
   • Exclude Insurance Plans: All transactions that have a specific insurance plan applied to them are excluded from commission calculations.
   • Exclude 0 Sale Transaction: All transactions with a sale amount of $0.00 (for example, if you apply a global discount of 100% to an order) are excluded from commission calculations.
   • Exclude Discount Reason: All transactions with a specific discount applied to them are excluded from commission calculations.
   • Exclude Line Item with 0 patient amount: All line items for which the patient pays a certain dollar amount or less are excluded from commission calculations. The default dollar amount is $0.00.
   • Exclude line Discount Over %: All line items that are discounted by a certain percentage or higher are excluded from commission calculations.
4. In the Exceptions Setup window, click Add Exceptions or Edit, and follow these instructions according to the exception rule you selected in step 3:
   If you are setting up a Line Item with 0 patient amount or Line Discount Over % exception, you have only the option to click Edit.
   • Exclude Insurance Carrier: Select the insurance carrier you want to exclude from the Insurance Carrier drop-down list. All transactions with this insurance carrier applied to them are excluded from commission calculations.
   • Exclude Insurance Plans: Select the insurance plan you want to exclude from the Insurance Plan drop-down list. All transactions with this insurance plan applied to them are excluded from commission calculations.
   • Exclude 0 Sale Transaction: Type $0.00 in the Sale Amount field.
   • Exclude Discount Reason: Select a discount type from the Discount Type drop-down list. All transactions with this discount applied to them are excluded from commission calculations.
   • Exclude Line Item with 0 patient amount: Type a dollar amount in the Patient Pay field. All line items for which the patient pays this amount or less are excluded from commission calculations. The default dollar amount is $0.00.
   • Exclude line Discount Over %: Type a percentage in the Discount Over field. All line items that are discounted by this percentage or higher are excluded from commission calculations.
5. To activate the commission exception, select the Apply on Commission check box.
6. Click Save.
7. Click Return to close the window.

You can exclude specific insurance carriers or plans from specific commission categories by creating carrier rules. Carrier rules exclude transactions from only specific categories, whereas other exception rules exclude transactions from all commission categories.

1. Open the Commissions window. See To set up commission carrier rules.
2. Click Setup Exceptions Rules.
3. Click Add Carrier Rules.
4. Do one of the following:
   • To add a new rule, click Add Carrier Rules. A row is added to the table.

   • To edit an existing rule, click Edit in the row of the rule you want to edit. The row becomes editable.

5. Select the commission category to which you want to apply the exception rule from the Category drop-down list.
6. Select an insurance carrier from the Carrier drop-down list.
7. To make the rule plan-specific, select an insurance plan from the Plan drop-down list; otherwise, go to step 9.
8. Select one of the following radio buttons.
   • Include: The insurance carrier or plan you selected is included in calculations for the category you selected in step 5.
   • Exclude: The insurance carrier or plan you selected is not included in calculations for the category you selected in step 5.
9. Click Save.
