Archiving Faxes and Autoletters

When you no longer need an autoletter to appear in your pending or sent fax queues, you can archive those fax records. When you archive autoletters, the following information is retained in the archive:

  • Date and time
  • Facility
  • User who generated the autoletter
  • User who transmitted the fax
  • Patient
  • Status is the fax transmission
  • Recipient
  • Fax number
  • Template used
  • Associated visit notes
  • List of attachments

The actual autoletters and attachments are purged when the autoletter is archived. If you wish to retain access to these documents, attach them to the patient's record prior to archiving them. For more information, go to Adding a Fax to a Patient’s Chart.

Here's how to archive autoletters:

  1. Click the Document Management tab.

    The Document Management page opens.

  2. Click Manage Auto Letters.

    The Fax Management page opens to the Pending Approval tab.

  3. Enter search criteria for the queued faxes, and click Apply Filters.
  4. Select the check box for each exam you wish to archive.
  5. Click the Archive Selected Exams button.

    The selected autoletter files are deleted and the fax records are moved to the Archived tab.
