Scanning and Recording Your Physical Inventory

Follow the instructions below to scan and record your physical inventory.

  1. Click the Products icon, select Inventory, and select Scan Count.

    OR

    Click Tasks on the main window toolbar, select Inventory, and select Scan Count.

    The Scan Physical Count window opens.

  2. If the Location drop-down menu is available, select a location.
  3. Select the Yes or No radio button to indicate if this is or is not a new inventory cycle.
  4. Select a manufacturer from the Manufacturer drop-down menu, if applicable.
  5. Select an inventory count cycle from the Select a Count Cycle or Select a Previous Cycle drop-down menu.
    To delete a previously created open or closed inventory cycle, click Delete Worksheet.
  6. Place your cursor in the Product Code text box.

  7. Use your barcode scanner to scan your inventory into the Scan Physical Count window:
    1. Scan the product’s barcode.
      The last scanned item’s line is highlighted in teal on the Scan Physical Count window.
    2. Enter the number of units on hand.
    3. Press Enter to return the cursor to the Product Code field.
    4. Repeat steps a–c for all of the products.
  8. Click Print Variance to print the Variance report.

    The Variance report prints and displays the difference between the inventory you actually have and the inventory recorded in OfficeMate.

  9. Click Record.
    If you do not have time to finish recording the actual number of inventory items and print the Variance report, you must still click Record. You can continue your work where you stopped by selecting the inventory count cycle from the Select a Previous Cycle drop-down menu.
  10. Click Update On-Hand to update the quantity of inventory items that you have on hand and close the inventory cycle.
