ExamWRITER Features
Equipment Interfaces
- You can now integrate with the Zeiss Cirrus OCT.
Examination
- You can now easily record and autocode blepharitis in both eyes and both lids in exams.
- You can now record an exact patient-reported A1c value when refining an endocrine diagnosis.
OfficeMate Features
Fee Slips
- You can now easily create new open charges to bill on fee slips when you are transferring a balance from a primary insurance carrier to VSP COB. When recording an adjustment in the Fee Slip Item Adjustment window, simply select Transfer to VSP COB as the Adj. Type and select the Create Open Charges check box (this check box is selected by default). The open charges from the VSP COB are listed in the Patient Open Charges window. After you bill them on a fee slip, they are noted on insurance claims and the VSP Doctor Service Report as coming from a secondary COB claim.
FrameMate
- Existing frames with updated details (such as color, size, and price) are now updated in your products database when you load frame catalogs using FrameMate. This new feature ensures that you are always selling the latest and most current frame models.
- Numeric color codes are now loaded into your product details database when you load frame catalogs using FrameMate. You can also manually record color codes for frames, plano sunglasses, and ready readers. Many manufacturers now want color codes, instead of names, on frame orders.
Products
- An expanded list of RGP and soft contact lens tints are now available to select in OfficeMate. They are also transferred on prescriptions from Eyefinity EHR to OfficeMate.
- Lenton & Rusby (L&R) frames are now available for you to sell in OfficeMate. These frames have been added to your products database as inactive frames; you must activate them prior to selling them. For step-by-step instructions on activating and selling these frames, go to Setting Up and Ordering Lenton & Rusby Packages.
- NVF ophthalmic lenses are now mapped to the correct attribute in the Third Party Setup window (Attributes tab) in OfficeMate Administration. This improvement enables you to record different prices for these lenses.
ExamWRITER Fixes
CCRs
- You no longer receive error 53 when creating CCR files.
Diagnosis/Procedure Coding
- Codes in the Diagnosis/Procedure Coding window now more quickly appear when you open the window and conduct a search. These performance improvements, especially noticeable in terminal services environments, have increased the speed of ExamWRITER and the speed in which you can code your exams.
- The double down and up arrows on the Procedures tab in the Diagnosis/Procedure Coding window now correctly move the selected procedure to the bottom or top of the procedure codes list. Previously, the codes were removed from the list after you clicked these arrows.
Display
- When you adjust the font size for text in the Preferences window (General tab), all heading and body text in exams is now correctly displayed in the new font size.
Equipment Interfaces
- Unaided acuity DVA measurements are now correctly transferred from the Marco RT-5100 into ExamWRITER exams.
- Manifest Rx data is no longer removed from patient exams after you use the Marco OPD-Scan III equipment interface.
- Presenting spectacle Rx data is now correctly transferred from the Marco LM-600 into ExamWRITER exams.
- Manifest horizontal and vertical prism Rx data is no longer transferred from the Marco RT-5100 via Marco Connect into ExamWRITER exams. Phoria distance and near data continues to transfer correctly into ExamWRITER exams.
- PD measurements are no longer removed from exams after you use the Marco RT-5100 via Marco Connect.
- Rx, k-reading, and working distance measurements are appropriately rounded to the 1/4 diopter or first decimal when they are transferred from Zeiss i.Com into ExamWRITER exams.
- You can now successfully transfer IOP data from the Topcon CT-80 into ExamWRITER exams.
Examination
- Conjunctival Growths BI Peripheral/Stationary now autocodes using the correct ICD-10 code (H11.043).
- Visual efficiency disorders now autocode using the correct ICD-10 codes.
Logout
- You no longer erroneously receive a message that states "Maximum number of login attempts exceeded" after you correctly log out of and into ExamWRITER multiple times without exiting the program.
Quick Code
- The Quick Code window and ExamWRITER no longer briefly disappear from view when you click the Coding button on the Quick Code window.
MIPS Fixes
OfficeMate/ExamWRITER 15 is the required version for any eligible clinician participating in MIPS in 2019. To support promoting interoperability and quality reporting measures, OfficeMate/ExamWRITER 15 integrates with a new patient portal, secure messaging system, and clinical quality measure reporting solution. To sign up to use these new MIPS solutions in 2019, complete the online MIPS Compliance Package form. For additional MIPS documentation, videos, and information, go to the MIPS Resource Center.
- SNOMED code 252779009 is now recorded in exams only when you record that a retina examination DFE was performed. This fix ensures that CQM #131 (Diabetes: Eye Exam) is correct.
- CDA information in the ConnectEHR provider portal is now sorted in descending date order.
- The G9974 procedure code is now correctly recorded in exams only when the patient is 50+ years old and diagnosed with AMD. This fix ensures that your reports for MIPS measure #14 (AMD Dilated Macula Exam) are correct.
OfficeMate Fixes
Appointment Scheduler
- A horizontal scroll bar now appears on the enlarged Patient Appointments window so that you can scroll to the right and read longer appointment notes.
- New patient details created in the Appointment Scheduler are successfully transferred to Eyefinity EHR, even if there is no communication preference for the patient saved in their demographic record.
Commissions
- You no longer receive an unhandled exception error when attempting to calculate and print commissions in a terminal services environment where multiple users are logged into it.
Eyewear Orders
- Printed eyewear orders that contain "no lens" sphere values are now displayed correctly. Previously, "plano" text was overlapping the "no lens" text on the printed order.
Fee Slips
- The Open Charges window now displays the right lens followed by the left lens, per optical industry norms.
- EHM dilation information is now correctly transferred from ExamWRITER exams to OfficeMate fee slips.
General
- When you click the Eyefinity logo in the upper-right corner of OfficeMate or OfficeMate Administration, you are now redirected to eyefinity.com.
Insurance Claims
- The NSF code in the Customization window (List Box Selections tab) recorded in OfficeMate Administration now correctly drives the relationship to insured selection on CMS 1500 forms and in ANSI files. This fix ensures that your insurance claims are correct and that you are able to successfully submit them and get paid in a timely manner.
- CMS 1500 forms now print correctly and consistently in terminal services environments.
- CMS 1500 forms with seven or more charges no longer incorrectly print double-sided; instead, they print on two separate sheets of paper.
Patient Demographics
- The OfficeMate Patient Data Sheet now quickly appears after you click the Glance button in a patient's demographic record. Previously, OfficeMate was hanging after the Glance button was clicked.
- Display in Title Bar and/or Reminder Data patient system preferences are now correctly saved.
- You no longer receive error 467262 when you are printing one-click documents that contain the <RecallDate> merge field but no recorded recall date.
- Patient demographic information is correctly saved. You also no longer erroneously receive a message stating that all of the fields highlighted are required when there is already data in them.
- Patient demographic information no longer disappears from a patient's record.
Products
- You no longer receive a "the port does not exist" error in a terminal services environment when you are printing barcode labels.
Purchase Orders
- You no longer receive error -2146232800 when you click the Products icon and select Receive Purchase Order.
- If you create a stock purchase order from an Rx order and then select an item on it to cancel it, that item is no longer included on the purchase order.
Quick List
- Patient names now appear correctly in the Quick List, even after you edit them in demographic records. Previously, edited names were appearing with only a comma or a blank line in the Quick List.
Recalls
- You can now correctly select, sort, and filter information when printing welcome and recall patient correspondences.
Receipts
- Applied payments are no longer recorded on fee slips after re-recording insurance payments, unless a payment amount is removed or changed.
- If you are using OfficeMate in a terminal services environment, you can now enter and record ERA information on multiple systems at the same time.
Reports
- The Production Report, when generated for providers and by product groups, now correctly displays receipt totals for "no group" products and provider details.
Statements
- Statements now reflect the correct balance when you create them by family for family members that have different last names.
VisionWeb
- If you are logging into VisionWeb from OfficeMate in a terminal services environment, your username and password, if selected to be saved, are now saved only for you, not for all users logging into VisionWeb. This fix prevents users from having to always log out and log back into VisionWeb with the correct account information and ensures that lab orders are not erroneously sent to the wrong location based on an incorrect logged-in user.
Known Issues
-
You cannot open FrameMate from the Tasks drop-down menu in OfficeMate; however, you can still quickly open FrameMate from the Products icon in OfficeMate.
- Statements preview and print in alphabetical order by patient first name, instead of by patient last name.
- The Detailed Benefits feature in version 15 is not working as it did in version 12. Eyefinity is working to restore full functionality to this feature in a future release.
- Allergens with onset dates are not saved after they are recorded in ExamWRITER. As a workaround, you can record allergens with reactions, but not onset dates. Allergens with onset dates were properly saved in version 12 and Eyefinity is working to restore this functionality in a future version 15 release.
- ReportWRITER version 15 is not working as it did in version 12 and you may receive error messages while using it. Eyefinity recommends using ExamWRITER instead of ReportWRITER to print exam reports.
