Using Resource Exceptions in Book View in AcuityLogic POS

To mark a time slot available or unavailable for a doctor or nonperson resource, you can set up a resource exception. A resource exception indicates that the resource is one of the following:

  • Unavailable during a scheduled time block
  • Available during an unscheduled time block

Resource exceptions are useful if a resource is available or unavailable for only small blocks of time. For example, if a doctor is scheduled to work the whole day but has an appointment from 3–4 p.m., you can create a one-hour unavailable resource exception for 3:00 p.m.

  • You can create or edit exceptions only for future time slots.
  • You must set up resource hours before you set up resource exceptions. See To set up resource schedules.
  • If you set up overrides for closed and unavailable times in AcuityLogic Admin, you can schedule appointments even if the office is closed or the resource is unavailable. See Setting Up Appointment Scheduler Preferences.

To use resource exceptions in Book View

  1. Open the Scheduler to Book View. See Opening the Scheduler in AcuityLogic POS.
  2. To create or edit an exception, click the Exception icon () in the Actions column for a time slot.
    To delete an exception, click the Delete Exception icon () and click Yes in the confirmation window.

    The Resource Availability Exception window opens.

  3. Select the Available radio button to indicate the resource is available or the Not Available radio button to indicate the resource is not available.
  4. Select the resource in the Resource drop-down list.
  5. Select or type the start date of the exception in the Start Date field.
  6. Select or type the start time of the exception in the Start Time field.
  7. Select or type the duration of the exception in the Duration field.
    The exception duration cannot be shorter than the duration of the provider’s exam minutes at this office. If the provider's exam minutes have not been set up in AcuityLogic Admin, they default to 15 minutes or 1 hour. For example, if the provider's exams are scheduled in 15 minute increments, you cannot create an exception that is less than 15 minutes.
  8. To record a recurrence for the exception, click Recurrence and follow the process below; otherwise, go to step 9:
    1. Select the Daily, Weekly, or Monthly radio button and configure the recurrence details in the Recurrence section.
    2. Select the End After or End By radio button and configure when the recurrence will end in the Range of Recurrence section.
    3. Click OK.
  9. Enter a reason for the exception in the Reason field.
  10. Click OK to save the exception.
