Maintaining Labs

This topic explains how to maintain labs in the Master Data Admin module.

  • Labs need to be mapped to an office before users can send lab orders. See Mapping Labs to Offices.
  • You cannot delete a lab after you create it, but you can deactivate labs that you do not want to appear in drop-down lists.
  • The Lab Partner Mapping window accessed by clicking the Map Partners link for a lab is not currently used.

To maintain labs

  1. In AcuityLogic Admin, click Master Data Admin and select Lab Search.

    The Lab window opens.

  2. To search for an existing lab, enter your search criteria in the search fields at the top of the window, and click Find.

    The search results are displayed.

  3. Do one of the following:
    • To add a new lab, click Create New.
    • To modify an existing lab, click the Lab Number link in the row of the lab you want to modify.

    The Lab window opens.

  4. In the Lab Number field, enter the lab number.
  5. In the Name field, enter the name of the lab.
  6. Enter the address, zip code, city, and state in the appropriate fields.
  7. Select the Active check box to activate the lab.
  8. Select the Is Company check box if the lab is part of your company.
  9. Select the Is VSP check box if the lab is a VSP lab.
    Click Lookup VSP Lab to look up and select VSP labs.
    If you select a VSP lab name that contains more than 50 characters, remove the extra characters before saving.
  10. Select the Is System Lab check box if you are sending orders through a lab interface to this lab.
    In most cases, a lab is not both a VSP and a system lab.
  11. Select the Is Internal Lab check box if the lab is also a distribution center.
  12. If you use the VisionWeb lab interface, select the Send Order As Pending check box to send all orders for the lab with the status Pending.
  13. If you use the Labzilla lab interface, select the Send Account Number For Customer Number (Labzilla) check box to submit the office account number as the customer number for all orders for the lab.
  14. Do not select the Send Makeability Request check box. This check box is not used in AcuityLogic.
  15. If you use the DVI lab interface, select the Do not send promise date to DVI check box if you do not want to send the promised date recorded on an order. This check box is available only if the Is System lab check box is selected.
  16. If you use the Innovations lab interface, select the Auto Assign Lab Order to Tray (Innovations) check box to send lab orders automatically.
    • Eyefinity must set up an AcuityLogic X-Link integration before lab orders can be sent automatically. Contact your AcuityLogic account manager to have the integration set up.
    • Lab orders are sent automatically at a scheduled time as part of the integration. You can continue to send rush lab orders manually from DC. See Sending Lab Orders Using the Innovations Lab Interface from AcuityLogic DC.
  17. If you use the DVI lab interface, select the frame information you want to send with an order from the Frame Id to send (DVI) drop-down list.
    • Frame UPC (Default)
    • Frame Item Number
  18. Select the Do Not Send Frame Only Orders check box to prevent frame-only orders from being sent to labs. This check box is available only if the Is System lab check box is selected.
  19. Select the Allow Frame Trace check box to add frame traces to lab orders.
  20. If you use the Innovations lab interface, select the Send OC as Pupil Height check box to send the optical center (OC) height as a pupil height. If you do not select the check box, the OC height is sent as the OC drop.
  21. Select the Do Not Allow Remakes check box to make the lab unavailable for remakes. If you select the check box, the lab does not appear in the Lab drop-down list in AcuityLogic POS when users process a remake eyeglass order.
  22. If you use the Innovations lab interface, select one or more carriers from the Select Carrier To Send Auth# For Remake (Innovations) drop-down list whose order authorization numbers you want to send to the Innovations lab instead of the original order number for remakes.

  23. Click Save.
