Creating Recalls

Before creating and running schedule recalls, you must setup and assign recalls to patients.

• To configure recall types in AcuityLogic Admin, see Setting Up Recalls.
• To assign recalls to patients in AcuityLogic POS, see Managing Patient Recalls.

1. Click Correspondence and select Recall.
2. In the Recall window, click New Recall.
3. From the Recall Category drop-down list, select Schedule Recall.
4. In the Description field, enter a name for the recall.
5. In the Recall From and Recall To fields, use the calendar icon to select a date range for the recall.
6. Select the Email Only check box to include only patients with email selected as their communication preference in their profile.
7. Select the Is Test File check box to run the recall without updating the recall history for patients in AcuityLogic POS.
8. Click the Insert (green check mark) icon.
   The Include converted Last Exam Dates check box is not available for schedule recalls.
9. Click the Parameters link next to the recall.
10. In the Recall Parameter Values table, click the Edit (pencil) icon in the Recall Type row.

11. From the Recall Type drop-down list, select the recall set up in AcuityLogic Admin that you want to create.

12. Click Save.

    To edit or delete the recall type selected, click the Edit (pencil) icon or Delete icon.

13. Click Return to close the Recall Parameter Values window.

    To edit or delete a recall before you run it, click the Edit (pencil) icon or Delete icon. After you run a recall, you cannot edit or delete it.

14. Click the Run link to generate the recall results. The Run link is available only after you add parameters to a recall.
15. To review the patients included in the recall results, click the Expand (plus) icon next to the recall.

2. Click the following icons to print recall letters, postcards, or labels:

   

   1. Generates a PDF with the addresses in label format of the patients included in the recall results (SurveyDetails.pdf).
   2. Generates the recall letters or postcards for the patients included in the recall results.
      The type of item available to print depends on the letter type selected for the recall in AcuityLogic Admin.

1. Click Correspondence and select Recall.
2. In the Recall window, click New Recall.
3. From the Recall Category drop-down list, select Batch Recall.
4. In the Description field, enter a name for the recall.
5. In the Recall From and Recall To fields, use the calendar icon to select a date range for the recall.
6. Select the Email Only check box to include only patients with email selected as their communication preference in their profile.
7. To exclude patients converted from other practice management systems that have a last exam date recorded in their profile, deselect the Include converted Last Exam Dates check box. This check box is selected by default and AcuityLogic includes these patients.
8. Click the Insert (green check mark) icon.
   The Is Test File check box is not used for batch recalls.
9. Click the Parameters link next to the recall.
10. In the Recall Parameters Values table, click the Edit (pencil) icon next to the parameter you want to add to the recall:
    • Office: Select the offices' patients to include.
    • Insurance: Select one of the following options:
      • All: Include patients that paid using cash or used insurance benefits from any carrier.
      • Retail: Include patients that paid using cash.
      • Insurance: Include patients that used insurance benefits. You can filter by insurance carrier.
    • Recall Type: Select one of the following options:
      • All: Include all patients.
      • Exam: Include patients with an invoiced exam. You can filter by exam type and diagnosis code.
      • Purchase: Include patients based on the type of product purchased (eyeglasses, contact lenses, or both).
      • Recall Exam Only: Include patients with exam-only orders. You can filter by exam type.
      • Frame Collection: Include patients that purchased frames . You can filter by frame collection.
    • To add a parameter to the recall, ensure that you click Save after you enter the parameter details.
    • To exit a parameter detail window without adding the parameter, click Return.
    • The parameter details you add appear in the Value, Detail Value, and Additional Value columns in the Recall Parameters Values table.
    • To update a parameter, click the Edit (pencil) icon next to the parameter.
    • To remove a parameter, click the Delete icon next to the parameter.
11. Click Return to close the Recall Parameter Values window.

    To edit or delete a recall before you run it, click the Edit (pencil) icon or Delete icon. After you run a recall, you cannot edit or delete it.

12. Click the Run link to generate the recall results. The Run link is available only after you add parameters to a recall.
13. To review the patients included in the recall results, click the Expand (plus) icon next to the recall.

1. Create and run a batch recall. See To create and run batch recall.
2. Click the following icons to export the recall results:

   

   1. Generates a PDF version of the recall results (RecallDetails.pdf).
   2. Generates an Excel version of the recall results (RecallDetails.xls).
   3. Generates a PDF with the addresses in label format of the patients included in the recall results (SurveyDetails.pdf).

1. Create a schedule or batch recall.
   You can copy a recall before or after you run it.
2. Click the Copy link next to the recall.
3. In the confirmation message, click OK to copy the recall.
4. Update the recall details or parameters as needed.

1. Click Correspondence and select Recall.
2. In the Recall window, select the Select to Remove Duplicates check boxes for the recalls that you want duplicate patients removed.
3. At the bottom of the Recall window, click Remove Duplicates.

   AcuityLogic removes the duplicate patients from the most recent recall created.

4. In the confirmation message, click OK.
