Creating and Editing Protocols
You must create a protocol before you can apply it to an exam. Once you create a protocol, you can apply it to as many exams as necessary. Setting up a protocol is similar to documenting an exam.
Before setting up protocols, you should be very familiar with documenting findings in the Ocular Exam Room.
What do you want to do?- Log in to the Eyefinity EHR web application as a doctor.
- Click Preferences.
- Click Manage Protocols.
Click Add Protocol to create a new protocol, or use the filters to search for existing protocols.
Clicking the Practice Protocols tab reveals a list of protocols that other providers at your practice are sharing.
You can copy existing protocols that you or another provider have created by clicking Copy.- Give your protocol a Title.
Optional: Select any Protocol Categories that might help locate the protocol in a search.
For instructions on creating Protocol Categories, see Modifying Protocol Categories.
Optional: Select the Gender using the drop-down list.
While this field is required, it's recommended that you ignore it. Most protocols can be applied across genders and ages. You don't have to create separate male/female/child protocols for the same items unless they include gender or age-specific body parts, labs, etc.
Select whether or not you want to share the protocol with everyone at your practice.
If you select Yes, the protocol will be shared with all staff members at your practice by default. If you enter the names of staff members under Who would you like to share this protocol with?, then the protocol will only be shared with those staff members.
- Click Save.

- Select the most common elements of the exam.
Don’t select highly variable elements like specific measurements. The idea behind protocols is to record only the common diagnoses and plans for a specific type of exam. You will record the specifics of the findings and diagnoses when you're actually applying the protocol during a visit.
- Click Save Visit Protocol.
If you include a medication in your protocol, you won't see the drug-allergy warning when you save the protocol.
- Open the Visit Overview.
Click Create Protocol from Visit on the action bar.
The Create Protocol window appears.
You can also access the Create Protocol window by clicking Save and Create Protocol on the action bar within the Ocular Exam Room.
All documentation you've already completed in the Ocular Exam Room appears under Protocol Steps, reflecting the contents of the protocol you're creating. You cannot modify the Protocol Steps except by going back into the Ocular Exam Room and editing your documentation.
- Give your protocol a Title.

- Click Save Protocol.
- Log in to the Eyefinity EHR web application as a doctor.
- Click Preferences.
- Click Manage Protocols.
Click one of the following for the protocol you want to modify:
- Manage. Edit the protocol elements including the exam set, diagnoses, findings, and plans.
- Settings. Edit the protocol settings including the title, categories, and share permissions.
- Copy. Create a new protocol by copying the existing protocol. The new copy will belong to you even if you copied a protocol created by another doctor.
- Delete. Deletes the protocol. You cannot delete protocols that belong to other doctors.
