Eyefinity Practice Management 10.48 Release Notes

Eyefinity announces the newest version of Eyefinity Practice Management. This updated version improves upon your system's robust attributes and offers new features and expanded functionality.

Front Office Enhancements

Eyefinity Practice Management 10.48 Front Office includes enhancements to the following areas:

Viewing Miscellaneous Order Information

Clicking the Order # link for a miscellaneous order on either the Invoiced or Non-Invoiced tab in Material Orders now opens the order's transaction information on the Transactions tab. Previously, the Pricing screen would open.

Document Tab Added to Patient Details via Calendar

When working in the Appointment Calendar and you click Patient Details, a Documents tab displays. From this tab, you can view and delete patient documents. You can also click Exit calendar and open Patient Record to go to the Documents tab in the Patient Record to upload/scan a document.

  • Click the document icon to view the PDF.

  • Click the trash can icon to delete the document.

  • Close the Patient Details window to return to the calendar.

Claim Management Enhancements

Eyefinity Practice Management 10.48 Claim Management includes enhancements to the following areas:

Claims Automatically Retransmitted After VSP Interface Gateway Timeout

If there is a Gateway Timeout problem with the VSP interface that temporarily prevents claims from being submitted, the claims are no longer automatically put on hold. The system now keeps the claims in Ready to Bill status and makes additional attempts to submit them every two hours, up to 10 attempts. The Claim Note on each claim is updated to show how many attempts have been made. If, after 10 attempts, the claims still cannot be submitted, they are then put on hold.

Update to Reduce VSP On Hold Claims

We've reduced the number of warnings that cause VSP claims to go hold. The following warnings will now be acknowledged automatically by the system:

  • OFFEXP0016 - Important! Frame only claims will be denied if they do not meet VSP's criteria. Please refer to the 'Providing Frames' section of the eManuals for more info

  • OFFEXP0022 - This claim has passed VSP's diagnostic criteria for necessary contact lenses. No additional pre-certification by VSP is required

  • OFFEXP0026 - Opposite signs have been requested on this prescription

  • OFFEXP0076 - Wholesale prices were provided by Maui Jim to ensure correct claim payment. Changing the amount may result in processing delays or incorrect payment

  • OFFHDR2016 - Lens materials not covered under PIA

Reporting Enhancements

Eyefinity Practice Management 10.48 includes the following reporting enhancements:

Office Sales by Hour Report

We introduced the Office Sales by Hour report, which looks at the time generated on sales for the reporting time period, broken down by day and hour. You can run this report for multiple days, but only for the office you are located in. For more information, see Generating the Office Sales by Hour Report.

Contact Lens Replenishment Report

We introduced the Contact Lens Replenishment report, which provides insight into your contact lens sales. You can narrow this report to a specific time period and supply source as needed. The report can be exported to PDF or Excel. For more information, see Generating the Contact Lens Replenishment Report.

Now Available! New Redesigned and Enhanced Dashboards

The new Analytics & Insights dashboards are now available. As of November 25, 2024 the Dashboard option has been removed from the Reporting menu. You access the new dashboards from the Reporting menu and then select Analytics & Insights.

Analytics & Insights includes the following new dashboards: Appointments, Billing, Patient Demographics, Patient Marketing, Sales by Provider & Staff, and Sales Revenue.

Make better, data-driven decisions based on a deep-dive into your data, gain greater visibility into your patients and practice, and gain the knowledge you need to help you to grow. The dashboards include charts that tell a story with just a glance and you can drill-down into the details to view the underlying data.

Along with a new look and feel, Analytics & Insights Dashboard enhancements include:

Eyefinity PatientNavigator: Simple Receipt Removed

For users of Eyefinity PatientNavigator, we have removed the simple receipt previously attached to the email sent when an order is submitted. Now, the email directs the customer to go to your website to get the Order Status and then click the View Invoice button to view the detailed receipt. The detailed receipt includes the information necessary to submit to an HSA/FSA plan.

With Eyefinity PatientNavigator, patients have 24/7 secure access to prescriptions, receipts, and order updates, whether you’re open or closed—no patient portal needed. This means minimizing patient calls for your staff, while modernizing how your practice delivers details patients want. Patients are automatically sent their order numbers, so they can see live status updates on their own time. The Eyefinity PatientNavigator add-on exclusively integrates with Eyefinity’s cloud-based platform, so you can ensure patients have the most up to date information.

Fixed Issues

Eyefinity Practice Management 10.48 includes fixed issues in the following areas:

Front Office

  • Patient statements now generate successfully in Front Office when the claim has been edited.

  • Appointment times are no longer cut off on the Calendar.

  • We fixed an issue that was causing missing Return Notes. Previously, the Return Note field in the Return Order window allowed users to enter just a space, causing no note to be recorded. The field now requires that valid characters be entered.The Return Note field displays only if you have Required Notes set up for returns in Administration.
  • Frame orders using the Kaleyedoscope integration no longer ship to the wrong lab.
  • Errors also no longer occur when selecting a lab for Kaleyedoscope orders in the Pricing screen.
  • The Show all Family Members check box is now shown consistently on the Transactions tab in Material Orders. Previously, the check box would sometimes be missing.
  • Miscellaneous items added to hard contact lens orders are now successfully saved when you save the orders as a Draft.
  • Exceptions created on a Service Template now display on the Calendar when in Book view. Previously, the exception would not display.

  • When creating a recall after an exam is invoiced, you can now change the date. Previously, you couldn't change the day.

Claim Management

  • We've fixed an issue that was causing the Remittance Record for VSP ERAs to show incorrect Patient Responsibility amounts.

Administration

  • We've fixed an issue that was causing some options to be missing from the Material drop-down list in Eyeglass Lens Quick Setup.

  • The Carrier & Plan Setup screen no longer gets stuck when you perform a search.

Fixed Issues

  • We fixed an issue that was causing the Item Sales Report to not include exams.

  • The Week-Team view in the Calendar now correctly displays Friday.

  • Errors no longer occur when printing patient statements from the patient Demographics or Overview screens.

Order Status for Exam-Only Orders

The patient's Order Status page now shows information for exam-only orders. Previously, only the status for material orders was available.

PDs on Printed Prescriptions

Prescriptions printed from Patient Navigator now include the Binocular and Monocular PDs.
