Reports User Checklist

Use the following checklists as a helpful reminder tool for staff members in your practice to help you successfully create and print reports and statements in OfficeMate.

The reporting capabilities in Home Office are greater than the reporting capabilities in OfficeMate. If you create reports from a store location, only the data and transactions recorded at that store location are displayed in the reports; however, if you create reports from Home Office, the data and transactions recorded at all locations are displayed in the reports.

Daily, Weekly, Monthly, & Yearly Reports

Completed Task

Select any date range that you desire in any of the tabs from the Date calendar(s). For example, even if you are in the Yearly tab, you can still select a date range that is less than one year.

Click Add to add reports to the list of available reports to print on the tab. OfficeMate comes preloaded with hundreds of reports, but they are not all displayed on every tab.

Select a report and read the description of it at the bottom of the window.

Click Clear, if necessary, to clear the existing selection criteria and select new criteria. You may have to clear existing criteria if the report does not display accurate or expected data.

To export a report, click Preview, click the Export Report (envelope) icon, select a format from the Format drop-down menu, and click OK.

If a report contains “See Custom Tab” in its name, click the Custom tab and create and print it on that tab. For more information about custom reports, go to Ophthalmic Lens Attributes.

Internal Marketing

Complete Task

Create reports that contain only patients’ names and addresses.

Create labels that contain only patients’ names and addresses.

Statements

Completed Task

Review and select criteria before creating statements. Don’t forget to select the correct Period End date!

Custom Reports

Completed Task

Create all financial reports on the Custom tab.

Set up parameters for the report. Note that there are many ways to extract data from OfficeMate for custom reports. Don’t be afraid to select different parameters to find the report that best displays the data that your practice needs.

Commission Reports

Completed Task

From Home Office, click Tasks and select Calculate - Print Commissions.

Select Commission Report from the Action drop-down menu.

Set up parameters for the report before printing it.
