Attributes User Checklist
Set up attributes for frames, lens treatments, and ophthalmic lenses in the Third Party Setup window before using the Lens Product Loader so that the Lens Product Loader uses the correct CPT codes and product prices. After you use the Lens Product Loader to load your lens treatments and ophthalmic lenses into OfficeMate, the attributes that you set up will be associated with the correct products. If you need to modify or create new attributes after loading products from the Lens Product Loader into OfficeMate, open the Third Party Setup window (Attributes tab), modify or create the attributes, and then select the new attributes from the Attributes drop-down menus in the Products window on the Product Details/Product Attributes tab and price them, or, use the Product Maintenance window to complete bulk pricing. Use the following checklists as a helpful reminder tool for staff members in your practice to help you successfully set up attributes in OfficeMate.
Frame Attributes
Do not price frame attributes in the Third Party Setup window because those prices will not be used in the Lens Product Loader; you must price frame attributes manually in the Products or Product Maintenance window or via a FRAMES Data CD.

Select the Cat./Base attribute category, record ophthalmic frame attributes, and select the V2020 CPT code from the CPT column drop-down menus. Remember, do not price V2020 ophthalmic frame attributes in the Third Party Setup window; instead, manually add them to each frame by opening the Products window, selecting a frame, clicking the Product Details tab, and selecting the attribute from the Cat./Base drop-down menu on the Product Attributes tab. You can also price the attributes on this tab. Alternatively, use the Product Maintenance window or FRAMES Data CD to complete bulk pricing. |

Optionally, select the Cat./Base attribute category, record a deluxe ophthalmic frame attribute, and select the V2025 CPT code from the CPT column drop-down menu. Remember, do not price the V2025 ophthalmic frame attribute in the Third Party Setup window; instead, manually add it to each frame by opening the Products window, selecting a frame, clicking the Product Details tab, and selecting the deluxe ophthalmic frame attribute from the Cat./Base drop-down menu on the Product Attributes tab. You can also price the attribute on this tab. Alternatively, use the Product Maintenance window or FRAMES Data CD to complete bulk pricing. |

Optionally, select the Options attribute category, record other attributes such as drilled rimless and grooved rimless, and select the V2799 CPT code from the CPT column drop-down menus. If you record other attributes, you must manually add them to each frame by opening the Products window, selecting a frame, clicking the Product Details tab, and selecting the attributes from the Options drop-down menus on the Product Attributes tab. You can also price the attributes on this tab. Alternatively, use the Product Maintenance window to complete bulk pricing. After you add other attributes to a frame, you do not need to select them as frame add-ons in the Rx order. If you do not want to add these other attributes as frame attributes, you can instead add them as lens treatment attributes. Lens Treatment Attributes
Lens treatment attributes are add-ons. They are added to lenses after they have been edged and are priced per pair. Examples may include solid tints, gradient tints, mirror tints, SRC, AR, UV, polish, roll & polish, drilled rimless, and grooved rimless.
Keep in mind the following information:
- The Lens Product Loader only uses lens treatments with SV attributes.
- The Lens Product Loader does not use lens treatments with MF attributes; therefore, do not select CPT codes for or price MF lens treatment attributes in the Third Party Setup window.
- The Lens Product Loader only uses SV, SV solid, SV gradient, and SV double gradient tints and mirror coat lens treatment attributes; therefore, do not select CPT codes for or price any other tint or mirror coat lens treatment attributes in the Third Party Setup window.
- The Lens Product Loader only uses the AR coat lens treatment attribute called “AR Coating;” therefore, do not select CPT codes for or price any other AR coat lens treatment attributes in the Third Party Setup window.

Select the Base attribute category, select CPT codes for SV and premium attributes used in the Lens Product Loader from the CPT column drop-down menu, and price them using the information above as your guideline. |

Optionally, record additional attributes, such as for multi-pricing AR coating levels, in the Third Party Setup window, but remember that the Lens Product Loader will not use CPT codes or prices for these attributes. Ophthalmic Lens Attributes
Ophthalmic lens attributes are inherent to the lens and are priced per lens. Examples include SV, BF, TF, progressive, polycarb, hi index, aspheric, transition, polariod, and, in some cases, AR and SRC.

Select the Lens Type attribute category and then select the V2781 CPT code from the CPT code column menu next to the progressive - standard attribute and price it. All progressive lenses loaded using the Lens Product Loader use the progressive - standard CPT code and price. |

Optionally, if you want to use different pricing levels for progressive lenses, click the Lens Type attribute category, record multiple progressive attributes, and select the V2781 CPT code from the CPT column drop-down menus, but do not price them in the Third Party Setup window because the Lens Product Loader will not use these CPT codes and prices. To price these attributes, manually add them to each progressive lens by opening the Products window, selecting the progressive lens, clicking the Product Details tab, selecting the attribute from the Lens Type drop-down menu on the Product Attributes tab, and typing the price in the Prod. Cost and Prod. Fee text boxes. Alternatively, use the Product Maintenance window to complete bulk pricing. |

Select the Material attribute category, select CPT codes from the CPT code column menus, and price the attributes. Note that you do not need to select CPT codes for or price plastic CR-39 or glass attributes, unless your office charges add-on fees for these materials. |

Select the Color attribute category, select CPT codes from the CPT code column menus, and price all attributes except clear, unless your office charges add-on fees for clear colors. |

Select the Other attribute category, select CPT codes from the CPT code column menus, and price all other attributes except scratch coat basic and AR coat basic because the Lens Product Loader will use the premium codes and prices for these attributes. |

Select the Prism, Add Power, and Oversize attribute categories, select CPT codes from the CPT code column menus, but do not price them. These attributes are not inherent to lenses and will be determined by the frame size or lens power. To individually price these attributes, open the Products window, select the product, click the Additional Attributes tab, and type the price in the Prod. Cost and Prod. Fee text boxes. Alternatively, use the Product Maintenance window to complete bulk pricing. |
