Using the Lens Product Loader
The Lens Product Loader loads a comprehensive list of over 10,000 lens products and add-ons provided by VSP into the OfficeMate products database.
- If you use the OfficeMate VSP Interface, you must use the Lens Product Loader to ensure that VSP patient out-of-pocket expenses are calculated correctly.
- If you do not use the OfficeMate VSP Interface, using the Lens Product Loader is optional, but highly recommended, and will save you countless hours of creating lens products manually.
- To keep your lens products up to date, Eyefinity recommends running the Lens Product Loader every two weeks.
- Before running the Lens Product Loader for the first time, ensure that your product attribute pricing is complete. For more information about product attributes, go to To add & modify attributes, To add & modify additional attributes, and Attributes User Checklist.

Downloading lens product lists gives you access to an up-to-date, comprehensive list of lens and lens treatments from which you can choose the products you want to load into OfficeMate.
As you maintain your products, you should download an updated lens list each month. See the Last Retrieved Date field to determine how recently the lens list was updated.
- In the OfficeMate Administration main window, click Tasks, and select Lens Product Loader.
A dialog box advising you to deactivate your existing lens products appears.
- Click Yes to deactivate your existing lens products.
OR
Click No to keep your current lens products active.
- Deactivating all of your existing lens products prevents your opticians from accidentally selecting a lens product that may cause errors with your claims and lab orders.
- If you are loading lens products in small groups, however, you may want to deactivate only a few of your lens products at a time in the Product Maintenance window. For example, deactivate your existing bifocal lenses as you load bifocal lenses from the Lens Product Loader.
- If you later decide to reactivate your lens products, you must do so manually using the Product Maintenance or Products & Services window.
- Click Retrieve Lens List to download updated products from VSP to OfficeMate.
The updated products are downloaded. This may take several minutes, especially if this is the first time that you are downloading products. OfficeMate compares the product lists against the products you may have loaded in the past and displays the modified, discontinued, and new lens products.
- In each window that opens, perform the following steps:
- Review the list for lens products that your practice may sell.
- (Optional) Click Print to print the list to help you later find and select the products that you want to load into OfficeMate.
The lens product descriptions are composed of a series of descriptions. For information on interpreting these descriptions, see To understand the ophthalmic lens descriptions.
- For discontinued products, select the check boxes next to the discontinued products that you want to remove from the OfficeMate products database, and click Save.
- Click Exit.
- Load lens products into OfficeMate. For more information, see To load lens products into OfficeMate (step 2).

The lens products that you select and load are copied to the OfficeMate products database and are available for creating lab orders and billing on fee slips and insurance claims.
- Open the Lens Product Loader and download the latest lens product lists. For more information, see To download lens product lists (step 1).
- From the Product Type drop-down list, select Lens Treatments or Ophthalmic Lenses.
- Narrow your search results to work with a small group of products at a time:
- To search for a specific product, enter part of the product description in the product Name field.
For ophthalmic lenses, you can enter either of the following:
The original lens name, which is displayed in the Description column of the search results.
Any name given to the lens by an OfficeMate user, which is displayed in the OM Description column of the search results.
- (Optional) From the Cat./Base drop-down list, select the lens type.
- (Optional) From the Material drop-down list, select the lens material.
- (Optional) From the Color drop-down list, select a tint.
- Select one of the following options:
- Imported Lenses: Only products previously imported into the OfficeMate database.
- New Lenses: Only products that have not been imported.
- All Lenses: All products that meet your search criteria.
- To search for a specific product, enter part of the product description in the product Name field.
- Click Find.
- To import default costs and fees for ophthalmic lens attributes—including prism, add power, and oversize—to the OfficeMate product database, select the Use Default Attribute Pricing check box.

To select the products to load into OfficeMate, do one of the following:

In the Select column, select individual check boxes.

To select all the products in the results list, click Select all.

- Click Load.
The selected products are loaded into the OfficeMate database, and the products and descriptions are highlighted green. If you already priced your attributes (To add & modify attributes), you can begin adding the products to orders and fee slips.
You do not need to select and load all the products in the results list. Select and load only the lenses that your office uses.
