This page catalogs the enhancements, fixes, and known issues included in the latest OfficeMate/ExamWRITER release. To learn more about how to use the new features or about what has changed since earlier releases, see the Previous Release Notes.

OfficeMate

Features

Products

  • New ophthalmic lens type, material, color, and other lens attributes, in addition to base lens treatment attributes, have been added to the Third Party Setup window (Attributes tab) in OfficeMate Administration (see OfficeMate/ExamWRITER 2019 Attribute Changes). This feature enables you to more easily find, select, and order lenses. For example, previously, if you searched for a 1.74 hi-index lens, you would find all 1.66 and greater hi-index lenses. Now, you will find only 1.74 hi-index lenses. It also enables you to price your lenses more accurately. For example, you can now price 1.67, 1.70, and 1.74 hi-index lenses differently.

    To use this feature, you must price the new attributes (see To add & modify attributes).

    It is important that you upgrade OfficeMate/ExamWRITER, price the new attributes, and then run the Lens Product Loader to update your lens products. Following this process will make pricing faster, as you will not have to individually price each lens. For more information, go to Using the Lens Product Loader.
  • Existing ophthalmic lens type, material, color, and other lens attributes; photochromic and transition lens attribute categories; and base lens treatment attributes, have been modified in the Third Party Setup window (Attributes tab) in OfficeMate Administration (see OfficeMate/ExamWRITER 2019 Attribute Changes). Like the new attributes, changes to the existing attributes enable you to find, select, and order lenses more easily.
  • Maui Jim frames have been added to your products database (if you didn't already have them) as inactive frames. You must activate them prior to selling them.

    Fixes

    Appointment Scheduler

    • Rescheduled appointments sent to Eyefinity EHR now contain the new date and time. This fix ensures that appointments in the Eyefinity EHR Quick List are correctly displayed.

    CLX Interface

    • If you select to ship a contact lens order to another address (other than the patient's address), the order is now shipped to the correct address. Previously, the interface was shipping the order to the patient's ZIP code, instead of the other address's ZIP code.
    • Multifocal contact lenses with ADD powers are now correctly sent to CLX.

    Fee Slips

    • The correct provider now appears on soft contact lens Rx order charges.

    FrameMate

    • You can now open FrameMate from the Tasks drop-down menu in OfficeMate.

    Installations

    • The installation process has been improved to reduce failures.

    Insurance

    • Box 14 on Medicare and Medicaid CMS 1500 forms now correctly prints an 8-digit date.

    Ledger

    • You can now more easily and quickly record decimal (cent) adjustments.

    Products

    • You can now successfully delete ophthalmic lens attributes (except base attributes) in the Products window (Product Details tab).

    Receipts

    • The Transferred Amount and To Apply fields now display the correct amounts when you are recording multiple insurance overpayments.
    • ERA insurance payments are now transferred correctly to secondary insurance carriers. This fix ensures that information on fee slips and CMS 1500 forms is correct.

    Reports

    • You can now successfully delete custom production reports.
    • The Deposit Ticket report now correctly displays deposit totals. Previously, totals with more than six numbers were displayed with pound signs instead of numbers.
    • The Production report now correctly displays patient totals. Previously, totals with more than six numbers were displayed with pound signs instead of numbers.
    • The Aging report now displays the correct unapplied amounts no matter what dates the report is generated for.

    Rx Orders & Prescriptions

    • If you redo an Rx eyewear order, keep the Eyewear Order window open, and then create or copy an Rx order, the new order is no longer erroneously a redo of the original eyewear Rx order.
    • Product names are now displayed on soft contact lens wallet-sized prescriptions.
    • Orders in the Rx Status Order window are now displayed correctly, depending on their status. For example, when you select Cancelled from the Status drop-down menu, only Rx orders that have been cancelled are displayed.
    • Usage information selected in Eyefinity EHR now correctly transfers to OfficeMate.

    Statements

    • Unapplied payments (credits) are now correctly displayed on statements when they are generated from the Ledger (with "All same guarantor" selected) and from the Reports window (with By Family selected). This fix ensures that statements are correct and printed only when patients have balances due.

ExamWRITER

Fixes

Examination

  • DFE dilation orders are now recorded with the following text: DFE performed using BIO and SLE. The text, "w/ Volk 90D lens" has been removed from the text.
  • Fine nystagmus with a fast, horizontal-rotary motion is now recorded with the following text: Nystagmus, fast horiz/rotary. The text "WNL" was removed.

Impressions

  • Vision motor skills disorder (visual efficiency) now autocodes with the F82 ICD-10 code. Previously, this impression was autocoding with the H51.8 ICD-10 code.
  • Nystagmus (H55.09 ICD-10 code) is now recorded with the following text: Secondary (Labyrinthine). The text "Nystagmus - Patent" was removed.

Medication Rx

  • Prescriptions written in Washington now include two signature lines, as required by state law. One line denotes that substitutes are permitted; one line denotes that the Rx must be dispensed as written.

Plan

  • Diagnosis refinement for the retinal vascular diabetes managing provider report now includes "Diabetes" in the text to clarify the report content.

Renew Support

  • You no longer receive error 2146233033 when you attempt to renew your annual support agreement in ExamWRITER.

Reports

  • Diagnosis codes printed on the Exam Analysis report are no longer truncated.
  • You can now successfully print the Patient Search report without receiving any errors.

MIPS

OfficeMate/ExamWRITER 15 is the required version for any eligible clinician participating in MIPS in 2019. To support promoting interoperability and quality reporting measures, OfficeMate/ExamWRITER 15 integrates with a new patient portal, secure messaging system, and clinical quality measure reporting solution. To sign up to use these new MIPS solutions in 2019, complete the online MIPS Compliance Package form. For additional MIPS documentation, videos, and information, go to the MIPS Resource Center.

Features

  • You can now integrate with the AOA MORE registry.
  • You can now generate 2019 MIPS reports that reflect the 2019 Final Rule changes for the Promoting Interoperability Program and Quality Program. You can also view 2019 Clinical Practice Improvement Activities. From OfficeMate/ExamWRITER Administration, click Reports, select Merit-Based Incentive Payment System (2015 Edition) 2019, and then select the appropriate program. Access to the 2018 reports has been moved to the Reports > Merit-Based Incentive Payment System Hx menu.
  • You can now generate MIPS reports for the Medicaid Promoting Interoperability Program. From OfficeMate/ExamWRITER Administration, click Reports, select Merit-Based Incentive Payment System (2015 Edition) 2019, select Promoting Interoperability Program, and then select Medicaid.
  • The descriptions for the MIPS Medicare Promoting Interoperability Program measures are now updated with 2019 Final Rule changes. To generate 2019 reports from OfficeMate/ExamWRITER Administration, click Reports, select Merit-Based Incentive Payment System (2015 Edition) 2019, select Promoting Interoperability Program, and then select Medicare.

Fix

  • SNOMED code 274798009 is now recorded in exams when you record that a retina examination DFE was performed. This fix ensures that quality measure 117 (Diabetes: Eye Exam) is correct.

Known Issues

  • Statements preview and print in alphabetical order by patient first name, instead of by patient last name. Statements generated by family contain an unapplied amount at the end of the statement and as part of the total balance. Additionally, statements generated by family contain a positive unapplied amount after recording a product return. Download this hot fix to resolve these three statement issues now.
  • The Detailed Benefits feature in version 15 is not working as it did in version 12. Eyefinity is working to restore full functionality to this feature in a future release.
  • Allergens with onset dates are not saved after they are recorded in ExamWRITER. As a workaround, you can record allergens with reactions, but not onset dates. Allergens with onset dates were properly saved in version 12. Eyefinity is working to restore this functionality in a future version 15 release.
  • ReportWRITER version 15 is not working as it did in version 12, and you may receive error messages while using it. you may receive error messages while using it. Eyefinity recommends using ExamWRITER instead of ReportWRITER to print exam reports.
