Setting Up Service Templates in AcuityLogic POS

You can set up service templates to restrict the types of services that can be scheduled for resources during specific days and times. You can copy service templates to other days for the same resource.

You can also set up service templates in AcuityLogic Admin. See To set up service templates.

To set up service templates

  1. Click Associate in the left column of menu options.

    The Login window opens.

  2. Select your name from the Associate drop-down list, type your password in the Password field, and click Login.

    The Scheduling tab opens.

  3. Click the Service Templates Setup tab.
  4. Select the resource you want to set up the service template for from the Resource drop-down list.
  5. Change the visible hours as follows:
    • To show 24 hours of each day, click Show 24 hours below the schedule grid.
    • To return to viewing only the scheduled office hours, click Show business hours.
  6. Select a rotation or date range from the Description drop-down list, if needed. See Setting Up Rotations and Date Ranges in AcuityLogic POS.
    The Normal Hours - No Rotation date range is selected by default. The service templates you set up for this date range applies to all weeks that do not have a rotation or date range set up.
  7. Click and drag your mouse cursor over the day and time you want to set up the service template for, right-click, and select Add Template.
    • To edit or delete a service template, select the template, right-click, and select Edit Template or Delete Template.
    • You can copy and paste a service template with the same name and service groups to multiple time slots. To copy a service template, select the template, right-click, and select Copy Template. To paste the service template, select a time slot, right-click, and select Paste Template.

  8. Type a name for the service template in the Name field.
  9. Type a description for the service template in the Description field.
  10. Click Service Group to open the Service Groups window and select the services that can be scheduled during the templates hours. Follow the process below to set up new service groups or to edit existing service groups:
    1. To create a new service group, click New.

      OR

      To modify an existing service group, select the service group from the list and click Edit.

    2. Type a name for the group in the Group Name field.
    3. Select the check boxes for the services you want to add to the service group in the Services window.
      • The services that you make available in AcuityLogic Admin appear in the Services window. See Setting Up Appointment Services.
      • You must select at least one service to create a service group.
    4. Click Save to save the services group and close the window.
    5. Click Return to return to the Service Template Setup window.
  11. Select the Restrict Template to Service Group check box to restrict appointments scheduled during the service template hours to services included in the selected service group.
    If you do not select the Restrict Template to Service Group check box, appointments will not be restricted to services in the service group. When an appointment is being scheduled, services in the selected service group appear in bold to indicate that they are the recommended services.
  12. Type or select the start time in the Start Time field.
  13. Type or select the number of minutes allocated for the service in the Duration of service (minutes) field.
    The duration of service must be equal to or greater than the exam minutes set up for the resource. For information on setting up resource exam minutes in AcuityLogic Admin, see Setting Up Employees and Setting Up Office Employees.
  14. Type or select the number of minutes between appointment start times in the Minutes between services field.
  15. Type or select the end time in the End Time field.
  16. Click Save to save the service template and click Return to close the Service Template Setup window.

    The service template name appears in the Calendar View of the Scheduler in AcuityLogic POS and AcuityLogic BackOffice.

The following figure highlights some of the settings discussed above:

  1. Select a rotation or date range if necessary.
  2. Select a resource.
  3. Click to toggle the view between 24 hours and business hours.
  4. Select a time slot, right-click, and select Add Template to add a template.
