This page catalogs the enhancements, fixes, and known issues included in the latest OfficeMate/ExamWRITER release. To learn more about how to use the new features or about what has changed since earlier releases, see the Previous Release Notes.

Released September 6, 2019

Because Microsoft SQL Server Management Studio (SSMS) version 18.1 is installed on your server with this release, your upgrade may take longer than it did for previous versions. Note that your existing SSMS is not automatically upgraded to version 18.1, so if you want or need to upgrade to this version, you must do so manually.

ePrescribing Features

If you use the ExamWRITER ePrescribing interface, you will soon automatically be upgraded to a new interface. This update will occur on a Sunday evening and will be available to you when you click the eRx icon in the Medication Order window. In addition to the following features, this upgrade provides improved visual navigation, prescription-sent texts to patients, and increased renewal notice capacity.   • You can now easily view notifications from pharmacies that let you know if a change to a prescription is needed due to unavailability. To view these notifications, click eRX Status on the ExamWRITER main window toolbar and then click the new Rx Change request button. You can accept or deny the change requests.
  • Diagnosis codes recorded in ExamWRITER are now uploaded to the ExamWRITER ePrescribing interface. In addition, patient cell phone numbers, e-mail addresses, race, ethnicity, smoking status, height, weight, and gender are uploaded to the ExamWRITER ePrescribing interface. The inclusion of patient cell phone numbers allows providers to send patients text notifications when prescriptions are sent to pharmacies from the new ExamWRITER ePrescribing interface.
  • Therapeutic medications that you stop or delete in the ExamWRITER ePrescribing interface now appear as discontinued medications in the Patient Systemic Medications and Allergies window in ExamWRITER.

Both the old and the new ExamWRITER ePrescribing interface include the following fixed issues:

  • Medication refills that you record in the ExamWRITER ePrescribing interface now immediately appear in the Patient History and Medication Order windows in ExamWRITER. Previously, medication refills were populated in bulk in ExamWRITER when you accessed the ExamWRITER ePrescribing interface from a subsequent exam, instead of in real time in the current exam.

  • Medications refilled in the Patient Information Center (Med / Surgical Hx tab) now immediately also appear in the Patient History and Medication order window in ExamWRITER. Previously, medication refills were populated in bulk in ExamWRITER when you accessed the ExamWRITER ePrescribing interface from a subsequent exam, instead of in real time in the current exam.
  • Changes that you record to patient allergies and medications in ExamWRITER are uploaded to the ExamWRITER ePrescribing interface each time you access it. Medication allergies are no longer uploaded as active medications and discontinued allergies are no longer left as active allergies in the ExamWRITER ePrescribing interface.
  • Medications prescribed in the ExamWRITER ePrescribing interface are no longer duplicated in patient exams in ExamWRITER.
  • Prescribing a medication in the ExamWRITER ePrescribing interface no longer changes the date of previously prescribed medications recorded in the patient's medication history in ExamWRITER.

ICD-10 Updates

  • ICD-10 codes in OfficeMate/ExamWRITER have been updated to reflect the upcoming 2020 changes. Eyefinity has identified 62 ICD-10 changes that apply to eyecare. Although these changes are referred to as the “2020” ICD-10 update, they are effective October 1, 2019. In some cases, CMS added new codes and retired others. In other cases, only the description associated with the code changed. For more information, go to 2020 ICD-10 Updates.

OfficeMate Features

  • Maui Jim frames have been updated and added in your products database (if you didn't already have them) as inactive frames. On August 14, 2019, Maui Jim joined the VSP Formulary and VSP Contract Lab Network, making it easier and quicker for VSP network doctors who are authorized Maui Jim retailers to submit Maui Jim claims for VSP members. Eyefinity is confident that this addition of Maui Jim will help ensure that patients with VSP benefits receive increased value and cost savings on authentic Maui Jim Sun prescription lenses with their best-in-class warranty. VSP patients can now order Maui Jim lenses and frames from authorized Maui Jim retailers using their VSP benefits. Patient out-of-pocket expenses will be automatically calculated at the time of the order. Although you can place VSP patients' Maui Jim frame and lens orders on eyefinity.com, we encourage you to use OfficeMate and the VSP Interface for a more streamlined experience.   • You can now print a provider's electronic signature on full-size (not wallet-size) detailed vision prescriptions. This feature will save both staff and providers office time. To use this new feature, ensure that the provider has a default signature image recorded in the Resources Setup window and then select the new Detail Rx w/Signature or Detail & Wallet Rx w/Signature Print Rx option preference on the Lab Orders tab on the System Preferences window.   • Insurance plan expiration dates are now transferred to Eyefinity EHR.

ExamWRITER Fixes

Examination

  • Conjunctiva Tarsal is now recorded with the following text: Conjunctiva Tarsal/Palpebral. This change improves exam documentation and provides more clarity on the location of the tarsal.
  • You can now delete the "BP Patient Refused" text from an exam that you copied forward.
  • You can now successfully record and save Rx measurements in a terminal server environment using the blue slider bar or manually typing the data in ExamWRITER.

Finalization

  • The VSP EHM Dilation check box is no longer selected if a patient was not dilated during the exam.

General

  • Various back-end coding changes have been implemented that improve the speed and performance of ExamWRITER.
  • To prevent confusion, the logged-in user is no longer displayed on the ExamWRITER main window. The correct logged-in user remains visible on the Control Center and in the exam chart.
  • The last exam date on an exam no longer randomly changes to the last exam date from the patient's previous exam.

Patient Search

  • You no longer receive an error that prevents you from printing reports from the Patient Search window.

General Fixes

  • You can now successfully install OfficeMate/ExamWRITER on a new computer.
  • You no longer receive an MDIFormLoad error -21462333088 when logging into OfficeMate Administration.

MIPS Fixes

OfficeMate/ExamWRITER 15 is the required version for any eligible clinician participating in MIPS in 2019. To support promoting interoperability and quality reporting measures, OfficeMate/ExamWRITER 15 integrates with a new patient portal, secure messaging system, and clinical quality measure reporting solution. To sign up to use these new MIPS solutions in 2019, complete the online MIPS Compliance Package form.   • Procedure code G9906 is now recorded in exams when you record that a patient received tobacco cessation intervention. This fix ensures that quality measure 226 (Preventive Care and Screening: Tobacco Use: Screening and Cessation Intervention) is correct.

OfficeMate Fixes

Appointment Scheduler

  • You no longer receive an unhandled exception error when printing the daily and weekly appointment schedule.

Error Messages

  • You no longer receive an OfficeMate data service Sql exception error in the Event Viewer.

Fee Slips

  • Charges sent to OfficeMate from Eyefinity EHR no longer create multiple blank lines with a provider assigned to them on fee slips.
  • If a second modifier is added to a procedure code in Eyefinity EHR, it now appears on an OfficeMate fee slip. Previously, only the first modifier was transferring from Eyefinity EHR to OfficeMate.
  • If you transfer charges from Eyefinity EHR to OfficeMate, you are now able to double-click on yellow highlighted charges in the Patient Open Charges window and select the appropriate CPT code for the procedure.
  • In order to prevent data loss, you can no longer edit fee slips while the Receipts & Adjustment window is open.

  • You can now successfully submit claims to VSP for a contact lens for only one eye. Previously, you received error IDCO0175 when attempting to submit a claim from a fee slip for a contact lens for only one eye.
  • Staff members no longer disappear from line items after recording fee slips.

FrameMate

  • You no longer receive error -24809 when attempting to transfer frames from the Frames Data Quarterly CD into OfficeMate.
  • You no longer receive an error when opening FrameMate that tells you that the Frames Quarterly CD is unavailable and to check your 132 drive.
  • You no longer receive error 467262 when attempting to view the Frames Quarterly CD catalog.
  • The correct Rx Sunglasses base attribute is now downloaded with plano sunglasses from FrameMate into OfficeMate.

HL7 Interface

  • The HL7 Interface now correctly works when it is set up to use the TCP/IP socket mode for port functions. Previously, the interface was only working when it was set up to use native directory mode.
  • Data correctly imports into OfficeMate when using the HL7 Interface.

Lab Interface

  • You can now successfully use the OfficeMate Lab Interface. Previously, you received error -2146233033 when attempting to use the interface.

Ledger

  • The correct fee slip dates of service are displayed.

Patient Demographics

  • If a guarantor is unlinked from a patient and the address is changed for either party, the address change no longer applies to both parties.

Products

  • If no frames are selected when you open the Product Bar Code Printing window, then the Select All, instead of the Unselect All, button is active and available for you to click.

Reports

  • The correct printer (either the Windows default one or the one selected in the Reports & Statements window) is now displayed when you click to print a report from the Preview window.

  • The payment subtotal, refunds, and other columns are now correct on the Monthly Production Recap report. In addition, balances are also now correct.
  • The report total on the Deposit Ticket is now correct.

Rx Orders

  • The order total on contact lens orders that contain two different lenses with different quantities is now correct.
  • The correct date of service now appears on hard contact lens Rx orders that are copied forward. Previously, the current hard contact lens Rx order was using the previous order's date of service.
  • Sphere measurements are now displayed on printed eyewear orders, even when one eye has a no lens/plano underlying condition.
  • You can now successfully submit electronic Rx orders to VSP for only one eye. Previously, you received error PMI09109 when attempting to invoice an electronic Rx order for only one eye.
  • Dispensing or receiving an Rx order no longer creates new open charges.

Statements

  • Statements generated by family no longer contain a positive unapplied amount after recording a product return.

  • Statements generated by family no longer contain a positive unapplied amount after recording a payment reversal or correction.
  • Statements preview and print in alphabetical order by patient last name, instead of by patient first name.
  • There is now a space between provider first names and middle names on statements.

Known Issues

  • The Detailed Benefits feature in version 15 is not working as it did in version 12. Eyefinity is working to restore full functionality to this feature in a future release.
  • Allergens with onset dates are not saved after they are recorded in ExamWRITER. As a workaround, you can record allergens with reactions, but not onset dates. Allergens with onset dates were properly saved in version 12. Eyefinity is working to restore this functionality in a future version 15 release.
  • ReportWRITER version 15 is not working as it did in version 12, and you may receive error messages while using it. Eyefinity recommends using ExamWRITER instead of ReportWRITER to print exam reports.
