This page catalogs the enhancements, fixes, and known issues included in the latest OfficeMate/ExamWRITER release. To learn more about how to use the new features or about what has changed since earlier releases, see the Previous Release Notes.

Released: February 18, 2020

With this release, all options for sending secure messages using Updox have been disabled and removed. To continue sharing information using our new patient and provider portal, sign up on eyefinity.com. As a reminder, MIPS-eligible clinicians who intend to meet the Promoting Interoperability criteria in 2019 and beyond must meet higher standards and criteria. To meet these higher standards, you must be using the new ExamWRITER patient and provider portal.

ePrescribing Fixes

If you use the ExamWRITER ePrescribing interface, you will soon automatically be upgraded to a new interface. This update will occur on a Sunday evening and will be available to you when you click the eRx icon in the Medication Order window. In addition to the following features, this upgrade provides improved visual navigation, prescription-sent texts to patients, and increased renewal notice capacity. The following issues in the new ExamWRITER ePrescribing interface were fixed by DrFirst in January 2020:

  • You no longer receive an SSO-209 time-out error when attempting to log into the ExamWRITER ePrescribing interface.

  • There is no longer a refresh lag time in the Action, Dose, Dose Unit, Route, and Frequency drop-down menus when you are prescribing a medication.

  • Favorite medications now always appear and are no longer duplicated several times.

  • When you right-click to copy and paste text, the drop-down selections are no longer blank.

ExamWRITER Features

  • When you record an other retinopathy WNL retina vascular impression in a patient's exam, the PQRS 2023F code for "No retinopathy" is now automatically added to the patient's procedures list.
  • You can now set up a preference to automatically calculate PD values in the Pupillary Distance window. When you set the new Auto Populate PD preference to Yes and record a distance PD, the near PD is autopopulated as 3 mm less than the distance PD. When you record a distance or near PD, the right and left PDs are autopopulated as half of the value of the distance and near PD. When you record a right distance PD, the left near PD is autopopulated as 1.5 mm less than the right distance PD. For more information about recording pupillary distance in exams, go to To record and modify pupillary distance measurements. Recording split PDs ensures that eyewear orders sent to VSP through the VSP Interface are processed without errors.
  • CDA and TOC documents are now saved as PDF files in eDocuments so that you can easily access them from within ExamWRITER. For information on creating CDA documents, go to Giving Patients Access to Their Clinical Data. For information on creating TOC documents, go to Creating the Transition of Care (TOC) Document.

ExamWRITER Fixes

Equipment Integrations

  • Humphrey HFA files are now correctly sorted in chronological order so that it is easy to review them. For information on using the Humphrey HFA interface, go to Using the Humphrey HFA II-i Interface or Using the Humphrey HFA3 Interface.
  • You no longer receive an XML document error message when attempting to use the Marco RT-6100 equipment interface.

Impressions

  • Hypertelorism is now spelled correctly.

Notes

  • Notes no longer get deleted when you attempt to save them.

Patient History

  • Patient history information now loads more quickly due to ExamWRITER performance improvements.
  • All contact lens windows now appear when you are recording patient history information for contacts.

Patient Medications and Allergies

Patient and Provider Portal

For information about using the patient and provider portal, go to Sharing Information with the Patient and Provider Portal.

  • Patient medication allergies are no longer listed as patient medications on the health summary in the portal.
  • The Dynamic Footprint database and log files are no longer growing exponentially with errors.

Rx

  • Due to performance improvements, the Rx windows now open more quickly and the measurement slider bars no longer flicker while loading.

Task Manager

  • Due to ExamWRITER performance improvements, Task Manager now opens more quickly than before when you use ExamWRITER in a large multilocation environment.

OfficeMate Features

  • You can now set up a preference in ExamWRITER to automatically calculate PD values in the Eyewear Order window. When you set the new Auto Populate PD preference to Yes and record a distance PD, the near PD is auto populated as 3mm less than the distance PD. When you record a distance or near PD, the right and left PDs are auto populated as half of the value of the distance and near PD. When you record a right distance PD, the left near PD is autopopulated as 1.5 mm less than the right distance PD. Recording split PDs ensures that eyewear orders sent to VSP using the VSP Interface are processed without errors.
  • You can now add two new merge fields to letters and postcards that you create in the Maintain Documents windows: Patient Email Address and Patient Cell Phone.
  • Three new Other product attributes are available for you to further refine ophthalmic lens details. These attributes also ensure that lenses with up to ten attributes (up to six Other attributes) can be imported into OfficeMate using the Lens Product Loader and billed on fee slips.
  • You can now update your contact lens product database directly from within OfficeMate Administration using the Eyefinity ABB Catalog Importer. Previously, you had to manually download and install the latest Eyefinity ABB Catalog Importer from the OfficeMate/ExamWRITER knowledge base. Now, you are notified in OfficeMate when a new version of the contact lens catalog is available, and you can easily update your contact lenses to ensure that your product database always contains the most up-to-date lenses. OfficeMate Fixes

Equipment Integrations

  • When you test your EHR URL connection, you no longer receive an error message that tells you that connecting to your Eyefinity EHR site was unsuccessful.

ERA

Eyefinity EHR Integration

  • S0960 and S9986 are now priced on OfficeMate fee slips using the price set up in your OfficeMate Services database. Previously, these S-codes were priced at $0 on fee slips, even if they had a price set up in OfficeMate. For information on using Eyefinity EHR, go to the product help site.

HL7 Interface

  • The HL7 Interface no longer exports DFT charges with duplicate FT1 segments. This change ensures that duplicate charges are not generated in the interfaced software.

Launch Errors

  • You no longer receive an error when opening OfficeMate if the ExamDRAW folder is missing from your Data folder.

Lab Interface

  • You can now successfully use the OfficeMate Lab Interface. Previously, you received error -2146233033 when attempting to use the interface.

Ledger

  • When a return or refund is recorded in the Patient Ledger, it is now linked via the receipt number in the new Rec. No column to the original deposit in the Rec. No column in the Receipt History window. This change enables you to easily see that the money was refunded. Previously, the refund was visible only in the Patient Ledger or on the Returns and Refunds report.

Lens Product Loader

  • Material, Color, and Other attribute prices for lenses imported from the Lens Product Loader are now correct. Previously, lenses set up with SV, BF, TF, PRG, or NVF fees were instead priced using the "All Fee" amount set up in the Third Party Setup window.

Patient Demographics

  • You no longer erroneously receive a data warning message if you did not modify any patient demographic information.
  • When you unlink an address to a patient or unlink a patient to a guarantor and then change the patient's address, the address change is now saved. Previously, the patient's address did not change.
  • OfficeMate no longer stops responding when you attempt to open the OfficeMate Patient Data Sheet by clicking the Glance button.

Purchase Orders

  • You can now deselect the Create Transfers check box on the Receive PO window so that transfers are not created when you receive purchase orders in a distribution center location.

Receipts & Adjustments

  • You can no longer modify payments for products that have been returned or refunded. This change ensures that your financial accounts and reports are correct.
  • Patient balances are correct when guarantors make payments on a linked patient's account and are then unlinked from the patient.

Reports

  • You can now successfully print the Daily Transaction Audit report. Previously, this report was not printing or was printing blank pages.
  • The total patient refund amounts on the Production report and on the Returns and Refund report now match.
  • If you choose to display the UPC code on the Inventory Valuation report, the report now displays UPC codes. Previously, UPC codes were not displayed, even when you selected the option to display them and the products had UPC codes recorded.

  • The Patient A/R Aging Summary report now correctly displays patient balances when guarantors make payments on a linked patient's account and are then unlinked from the patient.

Third Party Processing

  • Amounts greater than $999.99 are now correctly displayed on print image claims. This fix ensures that print image claims sent to Vision Web are correctly processed.
  • Claims are now properly saved in the OfficeMate\Data\EMC folder instead of in the root of the C drive.

VSP Interface

  • The Doctor Service Report no longer displays lab instructions for balance lenses if the underlying condition is plano. This change ensures that patients are billed correctly.

Known Issues

  • The Detailed Benefits feature in version 15 is not working as it did in version 12. Eyefinity is working to restore full functionality to this feature in a future release.
  • ReportWRITER version 15 is not working as it did in version 12, and you may receive error messages while using it. Eyefinity recommends using ExamWRITER instead of ReportWRITER to print exam reports.
